Secure File Transfer Protocol (SFTP) is a secure and reliable method for transferring files over a network. It encrypts both the command and the data being transferred, providing a safe environment to exchange sensitive information, perfect for businesses handling inventory data, purchase orders, and sales records.
In this article, we'll explain what SFTP is and give you a step-by-step walkthrough on how to use the SFTP integration feature in the Inventory Optimizer platform.
What Is SFTP?
SFTP (Secure File Transfer Protocol) is a safe way to move files between computers. It uses a secure connection so that everything you send, like your login information and files, is protected and hidden from others. It’s a safer, updated version of the old FTP method.
SFTP is widely used in professional settings where data security is crucial, such as:
- Transferring inventory and sales data
- Sharing sensitive documents
- Performing remote backups
- Automating data synchronization
How SFTP Works
SFTP uses a secure connection called SSH (Secure Shell) to safely send files, and it usually connects through port 22. When you connect to an SFTP server, the following steps occur:
- Authentication: The user logs in using a username/password or SSH key.
- Encrypted Channel: A secure connection is established.
- File Operations: Users can upload, download, delete, or rename files over the encrypted channel.
Using SFTP in Inventory Optimizer
If you're an existing user, you’ll receive an email with the subject: “SFTP Access Now Available for Your Inventory Optimizer Account.” Once you get it, you can start from Step 2 in our guide and follow the rest of the steps to start using the SFTP feature. If you don’t see the email, please reach out to us for support.
If you're creating a new company, please follow the guide from the beginning to complete the full setup process.
Note:
- For ASC companies, you won’t be able to upload Demand files.
- For QBFS companies, you won’t be able to upload Demand, Purchase Order or Kits files.
- Currently, Inventory Optimizer only supports file uploads. You won't be able to open, download, delete, or rename files within the platform.
Step 1: Create a New Company
Select the type of company you want to integrate. The three supported types are: ASC, QBFS and CSV
Enter the desired Company Name and click Create Company. You’ll be taken to the Company Info page. Scroll down and click Company Info Completed, Continue to proceed.
Step 2: Check Your Email for SFTP Login Info
After submitting your company info, check your inbox. You’ll receive a welcome email with the subject: “Welcome to Inventory Optimizer! Let's get started”
This email contains everything you need to connect to the SFTP server: Host, Username, Port and Password (you created during sign-up)
Step 3: Connect Using FileZilla (or any SFTP client)
Now it’s time to connect to the SFTP server using an SFTP client. One of the most popular tools is FileZilla, which is free and easy to use.
Open FileZilla and copy/paste the following from your email:
- Host: Copy the server address and paste it into the “Host” field.
- Username: Copy the username and paste it into the “Username” field.
- Port: Enter the port number.
- Password: Type in the password you created earlier.
Once all the fields are filled in, click Quickconnect.
⚠️ A message may pop up asking you to trust the server. Check the box to remember the server and click OK.
If everything is correct, you’ll see a "Successful" status at the top of FileZilla, meaning you're now connected.
Step 4: Locate Your Company Folder
In FileZilla, look at the Remote site panel (usually on the right side). This shows folders on the SFTP server.
Find the folder with your company’s name and click on it. This is where you’ll upload your files.
Step 5: Upload Your Files
You’re now ready to upload files to Inventory Optimizer.
Just drag and drop files from your computer (the left panel in FileZilla) into the company folder (the right panel).
📌 Important: Be sure to follow the required file naming conventions. Files must be named correctly so Inventory Optimizer can read and process them. You can download and use the file templates included in the email to make sure your uploads are in the correct format.
FileZilla will show the "Successful" status once the files are uploaded correct
⏰ Wait for Inventory Optimizer to Process Your Files
Inventory Optimizer automatically processes all uploaded files twice a day:
- At 12:00 AM
- And at 12:00 PM
That means your inventory data will be refreshed two times daily as long as the files are correctly uploaded.
